Job Description

We are currently seeking a dynamic and experienced Administration Officer to join our team and contribute to the efficient operation of our organization.

Key Responsibilities:

Administrative Support

  1. Oversee day-to-day administrative operations to ensure smooth functionality of the office.
  2. Manage correspondence, schedules, and documentation for management and staff.
  3. Maintain organized filing systems for records and reports.

Office Management

  1. Supervise office facilities, supplies, and equipment to ensure efficiency and availability.
  2. Coordinate logistics for meetings, conferences, and events.
  3. Handle procurement of office supplies and liaise with vendors and service providers.

Human Resource Support

  1. Assist in recruitment processes, onboarding of new employees, and maintaining personnel records.
  2. Support the implementation of company policies and procedures.
  3. Manage staff attendance records and leave applications.

Financial Administration

  1. Process invoices, receipts, and petty cash management.
  2. Support budgeting and tracking of administrative expenses.
  3. Collaborate with the finance team to ensure compliance with financial protocols.

Communication and Coordination

  1. Act as a point of contact for internal and external stakeholders.
  2. Ensure timely communication across departments.
  3. Address and resolve administrative issues efficiently.

Compliance and Reporting

  1. Ensure compliance with company policies, local regulations, and safety standards.
  2. Prepare periodic administrative reports for management.

Qualifications and Experience:

  1. Education: Bachelor’s degree in Business Administration, Management, or a related field.
  2. Experience: At least 3 years of experience in administrative roles, preferably within a consulting or investment environment.

Skills:

  1. Strong organizational and time management skills.
  2. Excellent written and verbal communication in English and Swahili.
  3. Proficiency in Microsoft Office Suite and administrative software.
  4. Problem-solving ability and attention to detail.
  5. Teamwork and leadership capabilities.
